Job Summary
Our client, a well-established company based in Brackenfell, is seeking a meticulous and experienced Bookkeeper to join their close-knit team. Due to the current office dynamic, they are ideally looking for a female candidate in her mid-30s who thrives in a collaborative environment and can bring both professionalism and a warm, approachable personality to the role.

Responsibilities and duties are as follows:
Accounting & taxes

  • Processing and reconciliation of all bank accounts (2 x current, 1 x money market, 6 x market links)
  • Processing of weekly/monthly/yearly journals (depreciation, payroll, vehicle loans, bank loans, taxes, etc.)
  • Processing and reconciling all transactions up to trail balance
  • Calculating, completing and submitting provisional taxes (bi-yearly) and payments
  • Calculating, reconciling, completing and submitting monthly VAT returns and payments
  • Calculating, completing and submitting dividend tax returns and payments
  • Calculating and recording of income tax
  • Arranging with external auditor with regards to financial statements
Debtors/Customers
  • Processing sales orders and resolving any queries
  • Processing delivery notes (when needed)
  • Processing and sending proforma invoices, invoices, credit notes and monthly statements
  • Creating of new customers and/or updating of details of existing customers
  • Quoting customers
  • Sending out letters and price increases
  • Following up on outstanding accounts and arranging repayment plans
  • Obtaining prices to assist with costing and determining price increases
  • Maintaining professional relationships with accounts and sales departments
  • Vendor applications
Creditors/Suppliers
  • Processing purchase requisitions (when needed)
  • Approving purchase requisitions (when needed)
  • Placing purchase orders (services)
  • Grv'ing of services (transport, services, etc.)
  • Converting grv's into purchase invoices and ensuring delivery notes and invoicing agrees
  • Processing credit notes
  • Processing invoices not related to stock (stationery, utilities, rent,
  • Monthly reconciliation
  • Creating new suppliers and/or updating details of existing suppliers
  • Handling any supplier related queries
  • Maintaining professional relationships with accounts and sales departments
  • Credit applications
Payroll & HR
  • Processing of weekly payroll from timesheets
  • Processing monthly payroll
  • UI-19 submissions
  • Calculating, reconciling and submitting monthly EMP201 returns and payments
  • Calculating, reconciling and submitting monthly provident fund returns and payments
  • Calculating and reconciling of staff loans and savings
  • Preparing, reconciling and submitting bi yearly EMP501 returns and distributing IRP5/IT3A certificates
  • Assisting staff members with any queries (taxes, provident fund, leave, income tax return submission)
  • Processing of leave
  • Updating existing and new employees and removing employees from provident funds
  • Updating beneficiaries lists for provident fund
  • Assisting with completing of 2 pot savings and fund withdrawals
  • Compensation Commissioner calculations, submissions and payments
  • Preparing of contracts
Reporting & cash flow for management
  • Weekly sales orders report for up-to-date open orders for purchasing and manufacturing requirements
  • Preparing monthly income statement per division
  • Preparing management accounts
  • Weekly and monthly cash flow
  • Monthly sales reports (sales per customer, units, sales vs targets)
  • Customer reports (age analysis for cash flow, account vs non-account)
  • Monthly purchases reports (purchase per supplier, purchases per inventory category, consumables)
  • Employee costs reports (when requested)
  • Any other report requested
ERP system
  • Manufacturing and assembling
  • Assisting with processes
  • Creating and processing of job cards or work orders (when needed)
  • Amending bill of materials
  • Investigating any problems and correcting them
  • Inventory
  • Reviewing and amending inventory codes
  • Reconciling inventory quantities
  • Compiling of stock take reports
  • Assisting with stock take investigations
  • Finalizing stock take
  • Recording of stock adjustments after obtaining approval
  • Reviewing of cost prices
  • Repacking of services onto inventory codes (example transport cost to be included in cost price of steel plates)
  • Administrator
  • Maintaining the system
  • Reporting any issues to support and follow up
  • Training
  • Creating of users and assigning access
  • Assist in creating and implementing processes from floor to system with regards to purchasing, dispatching, assembling and manufacturing
  • Providing technical support to staff members
Ad-hoc
  • Maintaining the property CC's books
  • Maintaining the sister water company's books
  • Maintaining the NPC company's books
  • Loading payments on the banking online system and sending proof of payments to relevant parties
  • Loading/arranging with bank with regards to forex payments/receipts
  • Answering of telephone, transferring of calls or taking messages
  • Resolving IT issues and/or communication for IT
  • Health & Safety file
  • Arranging training for staff members
  • Arranging services
  • Filing duties
  • Arranging data plates for filters
  • Communicating with City of Cape Town with regards to electrical or water issues
  • Purchasing of stationery
  • Purchasing of kitchen supplies
  • Assorted ad hoc admin duties as required from time to time
