We're looking for a detail-oriented Bid Administrator to join our team and help our clients capture more opportunities.

About the Role



As a Bid Administrator, you'll be responsible for the end-to-end management of the bid process, from identifying opportunities to submitting winning proposals. You'll work with multiple clients across different industries, managing deadlines, coordinating stakeholders, and ensuring every submission is compliant, compelling, and delivered on time.

What You'll Actually Do

Opportunity Identification & Tracking



Monitor tender portals, government websites, and industry platforms for relevant RFPs, RFQs, and bid opportunities Maintain a database of upcoming opportunities and deadlines Alert clients and internal teams to relevant opportunities Track bid submissions and outcomes

Bid Preparation & Submission



Prepare and compile bid documentation according to tender requirements Ensure all submissions are complete, compliant, and submitted before deadlines Coordinate with clients to gather required documentation (company profiles, financial statements, tax clearances, B-BBEE certificates, etc.) Format and proofread bid documents to ensure quality and professionalism Manage multiple bids simultaneously across different clients and sectors

Compliance & Documentation



Review tender documents to understand all requirements and evaluation criteria Ensure compliance with all mandatory requirements Maintain organized filing systems for all bid documentation Keep client documents up to date (registrations, certifications, company information) Track validity periods for certificates and registrations

Stakeholder Coordination



Liaise with clients to obtain information and approvals Coordinate with technical teams for pricing and technical proposals Communicate with procurement officials for clarifications Provide regular updates to clients on bid status and outcomes

Administration & Reporting



Maintain accurate records of all bid activities Track win/loss rates and prepare performance reports Manage bid libraries and templates Update company databases and CRM systems

Experience & Skills Required:



Previous experience in bid administration, tender management, or procurement (preferred) Understanding of the tender/bid process in South Africa Familiarity with government procurement portals (National Treasury eTender Portal, provincial portals, etc.) Experience working with compliance documents (B-BBEE, tax clearances, company registrations) Strong administrative and coordination skills Ability to read and interpret tender requirements

Technical Skills:



Proficient with document management systems Experience with CRM or project management tools (advantageous) Comfortable working with PDF forms and online submission portals Basic understanding of government procurement regulations (advantageous)
