Qualifications

  • Matric
  • Certified Payroll Practitioner (CPP) - Offered by the South African Payroll Association (SAPA)
  • Payroll Technician Certification - Offered by the Institute of Certified Bookkeepers and Accountants (ICBA)
  • National Diploma in Payroll Administration - Offered by various institutions, such as the University of Johannesburg
  • Certificate in Payroll Administration - Offered by the University of Pretoria
  • Advanced Certificate in Payroll Administration - Offered by the University of Cape Town
  • Certified Accounting Technician (CAT) - Offered by the Association of Chartered Certified Accountants (ACCA)
  • Certified Bookkeeper (CB) - Offered by the Institute of Certified Bookkeepers and Accountants (ICBA)
  • Payroll Administration Certification - Offered by the South African Institute of Chartered Accountants (SAICA)
Requirements
  • Minimum 2-3 years' experience in a payroll administration role.
  • Experience with payroll software and systems (e.g., Sage, SAP, Oracle).
  • Proficient in Microsoft Office, including Excel, Word, and Outlook
Duties
  • Payroll Administration
  • Assist with the preparation and processing of monthly payroll, including data capturing, payment calculations, and payment processing.
  • Ensure accurate and timely payment of employees' salaries, bonuses, and benefits.
  • Maintain accurate and up-to-date payroll records, including employee data, leave records, and payment history.
  • Assist with the administration of payroll-related benefits, such as medical aid, pension fund, and group life insurance.
  • Third-Party Payments
  • Ensure timely and accurate payment of third-party payments, including:
  • Provident fund contributions
  • UIF contributions
  • SARS payments (PAYE, SDL, UIF)
  • Medical aid contributions
  • Pension fund contributions
  • Group life insurance premiums
  • Reconcile third-party payment statements and resolve any discrepancies
  • Compliance
  • Ensure compliance with relevant legislation, including:
  • Basic Conditions of Employment Act
  • Labour Relations Act
  • Income Tax Act
  • Unemployment Insurance Act
  • Compensation for Occupational Injuries and Diseases Act
  • Maintain knowledge of changes to legislation and regulations affecting payroll and implement changes as required.
  • Ensure compliance with company policies and procedures.
  • Audit Trails and Assistance with Audit
  • Assist with the preparation of audit trails and schedules for internal and external audits.
  • Provide supporting documentation and explanations for audit queries and findings.
  • Assist with the implementation of audit recommendations and corrective actions.
  • Employee Queries and Support
  • Provide support and assistance to employees on payroll-related matters, including salary queries, leave applications, and benefits.
  • Respond to employee queries in a timely and professional manner.
  • Reconciliation and Reporting
  • Assist with the reconciliation of payroll-related accounts, including the payroll bank account and benefits providers.
  • Prepare and submit payroll-related reports, including monthly payroll reports and annual returns.
  • System Administration
  • Assist with the administration of the payroll system, including data maintenance, system updates, and troubleshooting.
  • Ensure data integrity and accuracy in the payroll system.
  • Ad-hoc Responsibilities
  • Assist with special projects and ad-hoc tasks, as required.
  • Provide support and assistance to other departments, as required.
  • Employment Laws
  • Basic Conditions of Employment Act (BCEA): Regulates employment conditions, including working hours, leave, and termination.
  • Labour Relations Act (LRA): Governs collective bargaining, trade unions, and dispute resolution.
  • Employment Equity Act (EEA): Promotes employment equity and prohibits unfair discrimination.
  • Taxation Laws
  • Income Tax Act: Regulates income tax withholding and payment.
  • Pay As You Earn (PAYE): Requires employers to withhold tax from employees' salaries.
  • Value-Added Tax (VAT): Regulates VAT payments and returns.
  • Social Security Laws
  • Unemployment Insurance Act: Requires employers to contribute to the Unemployment Insurance Fund (UIF).
  • Compensation for Occupational Injuries and Diseases Act (COIDA): Regulates workers' compensation for occupational injuries and diseases
  • Pension Funds and Retirement Laws
  • Pension Funds Act: Regulates pension funds and retirement annuities.
  • Retirement Funds Act: Governs retirement funds and their administration.
  • Data Protection and Privacy Laws
  • Protection of Personal Information Act (POPIA): Regulates the processing and protection of personal information.
  • Other Laws and Regulations
