Camps Bay Retreat is currently searching for an Assistant Front Office Manager.

Minimum Requirements

  • Matric
  • Hospitality qualification (advantageous)
  • Opera (or similar PMS systems)
  • Previous experience in the same or similar position
  • Familiar with the duties and procedures of the front office desk
Duties and Responsibilities

Hosting
  • Ensure all bookings are prepared prior to check ins
  • Ensure that customer needs and desires are met
  • Ensure that lobby area is tidy and presentable
  • Attend to customer complaints
  • Provide helpful and inviting environment for guests
  • Answer questions asked by guests
  • Ensure maintenance of the hotel facility
  • To help create comfortable, reliable stays for guests
  • Introduce and maintain the most efficient check-in/out procedures on Opera & WhatsApp.
  • To ensure that reservations are taken correctly and courteously.
  • Ensure guests are greeted, checked in to allocated rooms promptly and courteously via WhatsApp
  • Ensure credit control procedures are strictly adhered to
  • To ensure that accounts are balanced daily
  • Manage the arrival and departures for the day
  • Ensure that inspection is conducted prior to the arrivals of guests
  • Ensure that exit inspections are done per department
  • Place keys in key boxes with membership cards
Communication
  • To ensure effective liaison between reservations and front office staff with other departments
  • Ensure accurate and timeous submission of all reports and administrative work
  • To attend all management meetings as required
Guest Relations
  • Readily available at all times to deal with problems or complaints in person and on WhatsApp
  • Tend to and arrange for guest needs
  • To monitor trends within the industry and make suggestions how these could be implemented
HR
  • Participate in progressive discipline
  • To be familiar with all local OHASA measurements
  • To carry out or ensure that regular On-the-Job training is taking place to agreed standards
  • To ensure dress code of staff is up to standard
