Job Description

The Assessment and Graduation Administrator is responsible for providing administrative support in the management of assessments and graduation processes within the University. This includes capturing, verifying, and maintaining accurate student records, coordinating assessment and graduation activities, liaising with faculties, departments and ensuring compliance with institutional policies and regulations.
Job Knowledge, Skills and Experience

  • Matric or equivalent qualification.
  • At least 2 years' relevant administrative experience in academic student administration support within the Higher Education environment.
Recommendation
  • A relevant 3-year post-matric qualification
  • Knowledge of student administration system (ITS) for processing marks, results and graduation records
Key Performance Areas / Principal Accountabilities
  • Assessment administration - Plan, prepare and coordinate assessment processes; capture and verify marks; ensure accuracy of student records and compile reports on incidents or irregularities.
  • Graduation administration - Manage graduation processes, including graduate identification, verification of eligibility, preparation of graduation lists, seating cards and coordination of ceremonies.
  • Policy compliance and quality assurance - Apply and enforce institutional assessment and graduation policies, ensuring adherence to Senate and SENEX resolutions, regulatory requirements and audit standards.
  • Document and records management - Maintain secure, accurate, and accessible assessment and graduation documentation in line with AGC guidelines and institutional data protection standards.
  • Customer service - Provide professional support and guidance to students, staff and faculties on assessment and graduation matters and ensure timely communication of outcomes.
  • Operational Support - Assist the Manager: AGC and senior staff with assigned duties, contribute to workflow efficiency, and provide support during peak assessment and graduation periods.
