Our client is a multinational business specializing in the export of animal health products such as vaccines, detergents, and disinfectants, as well as nutritional products including protein raw materials, amino acids, and premixes to the African region. As the company expands its presence and reach within the region, they are seeking an Animal Health Sales Administrator to join their dynamic Sales Department in South Africa and assist with crucial administrative duties.

Position Overview:

The Animal Health Sales Administrator will be an integral part of the Sales Department, working closely with the sales team, suppliers, and clients to ensure the efficient execution of orders, including procurement, deliveries, export orders and overall administrative processes.

The role requires impeccable attention to detail, excellent organizational skills, and exceptional interpersonal abilities to foster effective communication with stakeholders.

The ideal candidate will contribute to the smooth functioning of the department, ensuring customer satisfaction and strengthening our business relationships in the African market.

Qualifications and Requirements: * Bachelor's degree or a National Diploma in Animal or Veterinary or Agricultural Science, Animal Husbandry or similar

  • Candidates must reside within a 20km radius of Bryanston
  • Proven experience in administrative roles, preferably in the pharmaceutical, animal health, or nutrition industries.
  • Detail-oriented with strong organizational skills to manage multiple tasks simultaneously.
  • Excellent verbal and written communication skills to effectively interact with suppliers and clients from diverse cultural backgrounds.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint) and experience with CRM software is an advantage.
  • Ability to work independently as well as collaboratively within a team-oriented environment.
  • Understanding of import/export regulations and logistics processes is desirable, but not a requirement.
  • A customer-focused mindset with a commitment to delivering exceptional service.
  • Fluency in English is required, and knowledge of Portuguese or French will be an advantage.
Key Responsibilities:
  • Order Execution: Coordinate and manage the end-to-end execution of sales orders, ensuring timely and accurate processing from procurement and receipt to delivery.
  • Administrative Support: Assist the sales team with various administrative tasks, including order documentation, invoicing, and data entry.
  • Communication Liaison: Act as a key communication link between suppliers, clients, and the sales team, providing updates on order status, shipment tracking, and resolving any queries or concerns promptly.
  • Inventory Management: Monitor stock levels to ensure efficient procurement.
  • Customer Relations: Build and maintain positive relationships with clients by providing exceptional service and addressing their needs in a professional and courteous manner.
  • Quality Assurance: Collaborate with the Quality Control team to ensure all products meet the required standards and regulatory compliance before shipment.
  • Logistics Coordination: Work closely with logistics partners to arrange smooth and timely transportation of products to various African countries, ensuring compliance with import/export regulations.
  • Reporting: Generate regular reports on order status and inventory levels to assist management in making informed business decisions.
  • Continuous Improvement: Identify opportunities for process optimization and contribute to the implementation of improvements to enhance efficiency within the Sales Department.
