Job Description

Our client is looking for a highly organized and client-focused Advisory Assistant to provide essential administrative and support services to their financial advisors. In this role, you'll play a crucial part in fostering strong client relationships and contributing to both client retention and acquisition. You'll be the backbone of their advisory practice, ensuring smooth operations and exceptional client service.
Responsibilities:

  • Client Relationship Support:
  • Prepare all necessary documentation for client onboarding and meetings.
  • Coordinate with clients to obtain signatures on documents and follow up on outstanding requirements.
  • Input and maintain accurate client information on our internal systems.
  • Complete all required forms, mandates, and application forms.
  • Liaise with internal teams and external providers to follow up on various instructions.
  • Submit diverse instructions as directed by advisors.
  • Verify and manage FICA (Financial Intelligence Centre Act) documentation.
  • Handle Private Wealth client onboarding, including obtaining FICA documents and completing relevant forms.
  • Track and monitor client instructions, including new business transfers, top-ups, withdrawals, switches, maturities, income benefits, and various account transfers.
  • Update ad-hoc and annual minutes on the client management system.
  • Manage advisor diaries, scheduling client appointments and follow-up meetings.
  • Generate and structure meeting agendas, then execute or monitor post-meeting actions.
  • Address and fulfill outstanding requests from internal and external clients promptly.
  • Calculations and Financial Support:
  • Perform basic calculations as requested by advisors.
  • Assist with tax directive and tax simulation requests.
  • Load and calculate recoupment options.
  • Practice Management:
  • Maintain up-to-date FICA and FAIS (Financial Advisory and Intermediary Services Act) compliance.
  • Manage depleted holdings.
  • Ensure clients have the correct mandates and closing letters.
  • Communication and Client Engagement:
  • Initiate contact with clients to request documents and schedule meetings.
  • Address client queries efficiently and professionally.
  • Communicate with the finance department regarding recoupments, debtor schedules, and credit notes.
  • Coordinate sending gifts or cards on special occasions to clients.
  • Assist clients directly with signing documents during the onboarding process.
  • Team and Office Contribution:
  • Provide assistance and mentorship to other administrative assistants.
  • Participate in annual client presentations and other advice-related events.
  • Support the coordination and execution of client events.
  • Education:
  • Matric (Grade 12) is essential.
  • A tertiary qualification is preferred, ideally in Investment Management, Financial Planning, Accounting, Tax, or a Certified Financial Planner (CFP) designation.
  • Experience:
  • Ideally 3-5 years of experience in a financial advisory practice.
  • Computer Skills:
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Aptitude for learning and utilizing in-house client management systems.
  • Competencies:
  • Strong aptitude for figures and numerical accuracy.
  • Excellent written and verbal communication skills.
  • Developed conceptual thinking skills.
  • High level of interpersonal understanding.
  • Exceptional attention to detail.

  • Knowledge:
  • Solid understanding of insurance and investment products.
  • Familiarity with fee structures, including performance fees.
  • Knowledge of mandates.
  • Understanding of various asset classes, including hedge funds and equities.
  • Experience with lump sum investing/withdrawals.
  • Ability to prepare and understand quarterly reports.
