Job Description

Main purpose of the job:

  • Follow up on missed handovers, Gemba Walk feedbacks, after-hour reports, cross checks and Management routines.
  • Weekly escalation to Maintenance re SHE jobs.
  • Logging of Maintenance jobs Adhoc.
  • Communicating Monthly G2G Activity Reports per dept. Check that the G2G platform is being used as intended.
  • Weekly sending of minutes for SHE, Level 2 and Coordinators meeting or any other meetings minutes required.
  • Daily Paper Trail requests.
  • Ongoing tracking and feedback of department budget to Manager.
  • Daily Outlook diary coordination for Manager.
  • Request of quotes needed ad-hoc.
  • Weekly over 60-hour overtime feedback.
  • Retrieve daily Store alarm feedback from Supplier.
  • Arrange staff training dates Adhoc.
  • SHE administrative assistance where needed.
  • Meeting minute taking - Ad-hoc.
  • Forklift repair / service requests Adhoc.
  • Forklift and racking load testing Adhoc.
  • Filling of forklift hours weekly - FMX Spreadsheet.
  • Filing of quotes, POs and invoices - General department filing and record keeping.
  • Staff COS and Requisitions Adhoc.
  • Fulfil tasks per task list.
  • Prompt SOP reviews when due.
  • SOP Uploads to SharePoint when due. Time and attendance feedback weekly.
  • Assist Manager with administrative tasks when need be Logging of training registers.
  • Logging unsafe act cards.
  • Logging of Incident Reports.
  • Update Nosa Board monthly.
  • With approval of Manager, request Casual staff when need be.
  • MDWT assistance where need be. Schedule Clinic appointments as requested.
  • Capture leave for department. Arrange transport for employee's that works overtime.
  • Log CPD points.
  • Check that tasks on Safe Trans are completed. Escalate to Task Managers if necessary, with Manager in copy.
  • Follow up on FMX exception reports.
  • Follow up on emails on behalf of Manager where needed.
  • Print Job Profiles and Task Lists bi-annually and prompt Line Managers to review hard copies. Once done, amend with soft copies for Manager to approve.
  • Arrange and coordinate staff functions when needed.
  • Broadcast messages for department on Viva Engage.
  • Send through monthly 5S and MDWT Scores for the Group to HR.
Preferred Minimum Requirements:
  • Matric preferable.
  • 1-2 years plus experience in similar role within an Administration environment.
Knowledge:
  • Computer literate.
  • Must possess good coordination
Skills:
  • Willing to work under pressure, after hours at times.
  • Good physical and mental capacity.
