Cirtech Communications is seeking a highly organised, detail-driven Administrator to support our operations at Glencore Coal South Africa (Goedgevonden, Impunzi and Tweefontein Complexes) in eMalaheni. The ideal candidate will have strong administrative capability, exceptional record-keeping skills, and a solid understanding of safety, compliance, and onboarding processes within an industrial environment. Experience with Passport 360 is highly advantageous. Must have valid South African driver's license and ID
Admin, Safety & Compliance Support
Load approved manpower onto the Passport 360 system.
Coordinate the efficient onboarding of all personnel, from booking through to completion of Passport 360 onboarding processes.
File and maintain complete employee records--including personal information, certificates, qualifications, and onboarding documentation--and ensure all information remains current on Passport 360.
Obtain, verify, upload, and file all mandatory Passport 360 documentation, including:
Employee qualifications
Training certificates
Letters of Good Standing
Medical and compliance documentation
Ensure Working Files are accurately completed and competently filed by the respective 2.6.1 subordinate managers on each site.
Perform real-time updating and maintenance of the Passport 360 Live Pack.
Assist with operational SHE (Safety, Health & Environment) documentation and administrative tasks.
Print, file, and maintain daily SHE documents such as toolbox talks, PTOs, HIRAs, and other compliance forms.
Ensure all applicable systems, policies, and procedures remain updated and aligned with operational requirements.
Standby, Callout & Overtime Management
Draft, maintain, and distribute standby rosters for all relevant personnel.
Record and manage callouts, ensuring accurate documentation and time capture.
Support overtime management by ensuring overtime requests, approvals, and timesheets are properly recorded, verified, and aligned with company and site requirements.
Liaise with supervisors to ensure correct submission, tracking, and reconciliation of overtime and standby claims.
PPE Allocation & Conformance
Manage, maintain and record the PPE allocation register for all employees.
Coordinate PPE distribution, replacement, and replenishment in line with company and site requirements.
Ensure all employees meet PPE conformance standards and maintain valid, compliant equipment at all times.
General Administrative Functions
Perform general office duties including photocopying, scanning, filing, and document management.
Manage and organise documents, records, and files in a systematic and easily retrievable manner.
Maintain accurate and up-to-date employee attendance, leave, and compliance records.
Oversee vehicle tracking and fleet management administration.

QUALIFICATIONS & REQUIREMENTS
Proficiency in Microsoft Office, especially Excel (required)
1-2 years of office administration experience (preferred)
Experience with Passport 360 or similar compliance/onboarding systems (advantageous)
Willing and able to work on-site, Monday to Friday (07h00-16h00)
Strong document management and filing skills
