The Institute for Microbial Biotechnology and Metagenomics (IMBM) is a leading and globally competitive research unit based within the Department of Biotechnology, committed to excellence in research and in the training of future research leaders. The Institute focuses on the research and development of novel, high-value natural products, services and solutions for the pharmaceutical, cosmeceutical, food and beverage and agricultural industries, as well as products for industrial processes.

The Institute for Microbial Biotechnology and Metagenomics (IMBM) seeks to appoint a part-time Administrator to assist with all departmental administrative procedures, in order to ensure alignment and compliance with central administrative systems and procedures.

Key Performance Areas:

The successful incumbent will be responsible for the following, amongst others:

  • Research project administration
  • Ordering and procurement; including liaising with external vendors, other departments/units, and relevant staff/researchers
  • Inventory management (fixed assets and laboratory reagents and consumables)
  • Financial administration (including budget administration; payments; annual and monthly income and expense reporting; keeping abreast of regulatory requirements and best practices in financial administration and compliance with UWC policies and procedures);
  • Academic administration (including but not limited to: facilitate student and research fellow registration and co-ordinate all post graduate documentation submissions, assist with student recruitment and data collation on student and related information,
  • Assist with marketing and recruitment
  • Human resource administration
  • Reception duties and general office administration (scheduling meetings and preparing minutes; maintain the IMBM information management system; data capturing, processing and reporting; assisting with onboarding and exit processes for all staff, students and research fellows)
  • Event organisation, including assisting with all associated travel arrangements
Minimum Requirements

Minimum Requirements:
  • Grade 12 and a relevant three year post-matric qualification with two years higher education academic administration experience or equivalent;
  • Expertise in MS office with advance Excel, Power point and Google products;
  • A valid driver's license or ability to commute reliabily to work daily
The following would be advantageous:
  • Administrative experience in a Higher Education environment as well as knowledge of student administration systems.
  • Financial, post graduate and research administrative experience in a donor-funded environment
Competencies required:
  • Demonstrated communication, organisational and interpersonal skills;
  • Ability to work efficiently under pressure, and to adhere to and meet strict deadlines;
  • Ability to work without supervision and to pay attention to detail.
