Job Description

Responsibilities:



General Office admin (Answer Telephone; attend to email; assist walk in customers).

Order Stationary including Job Card books, Good returned for credit, IGOB, Application to Credit, Benetrax parts release form to supplier, Gate pass etc. from JHB / Each person needs to sign when issued a new book.

Request quotes from JHB for walk in customers.

Accept returns and ensure correct paperwork is completed.

Facilitate telephonic requests for quotes from customers.

Daily report on Mechanic tasks

Collecting Job Cards/Service reports from Mechanics daily on their return to Office

Keeping service board up to date and sending service details.

Completing request form for stripping parts from machines.

Completing stock request forms and order from JHB.

Facilitate stock take & complete stock check forms.

Receive parts and allocate them to a Bin. Send Bin allocation details to JHB for capture.

Dealing with PPE requirements / issues

Manage and issue consumables to workshop guys / mechanics

Contact JHB to find out if client has an account and if yes, is the account paid up to date.

Liaise with JHB Accounts Department on account status and payment terms before any part leaves the store or before services are done.

Facilitate card payments on parts purchased.

Ensure Delivery notes / Service Reports are completed with signature, the

machine details

, correct customer name, address, contact number and email address along with date and correct part numbers, qty and codes.

Delivery note / Service Reports must be sent daily for invoicing (Day of completing delivery note - to send scanned copies via email. Originals to be sent every Thursday with Original Delivery Notes / Service Reports).

Delivery Notes for machines - needs to be requested from JHB BEFORE a machine leaves the yard and the signed delivery note needs to be sent back to JHB for record keeping purposes.

Machines & Parts:



Ensure proper records are kept with regards to In Yard machines and parts.

Damage parts in need of replacement should always be kept (if possible).

ISO:



Prepare and issue all ISO checklists - Job Observation ,Overhead Crane Checklist, Portable Electrical Equipment, Hand Tools, Ladder Inspection, PPE Inspection, Daily Motor Vehicle Checklist, Air Tools Checklist, Safety Harness, Generator, Vehicle First Aid Pouch, Minor Wound Care Kit Checklist, First Aid Box, Fire Fighting Equipment, Stacking and Storage, Web & Fibre Slings, Chain Slings, Housekeeping, Pressure Washer, HCS Checklist, Gas Cutting, Forklift, PPE Issue, Angle Grinder, Monthly Motor Vehicle Checklist, Welding Equipment, Toilet Inspection, Customer Survey Report

Ensure that all checklists are signed and returned, send all checklists to JHB

Scan and save all checklists and Docs on main (ISO)

File all Checklists

Keep ISO Files updated (Training certificates and Appointments, ect.)

Update all safety boards as per Health and Safety and ISO requirements

Arrange annual fire extinguishers services and ensure they are checked mothly

Requirements:



Minimum Grade 12

Fluent in English and Afrikaans

Minimum 5 years experience in a similar field.

Excellent communication and interpersonal skills.

Strong customer service orientation.

Ability to work collabaratively in a team environment.

Proficient in Microsoft Office Suite (Outlook, Word, Excel)

Ability to multitask and prioritise.
