General Office Operations work is focused on supporting the entire organization as first point of contact for inbound telephone inquiries and office visitors/guests.
To persuasively communicate a powerful message to all Virbac customers by creating a positive "Virbac Experience" that makes everyone feel like a VIP, ensuring that an accurate image of Virbac is presented at all times and demonstrating an exceptional business etiquette service to all which leaves a positive lasting impression on everyone
Responsibilities
Reception and Switchboard operationsKeep the reception area and reception desk neat, safe and tidy and ensure answering phone timeously and taking messages when required
Be professional, polite and courteous to customers and offer refreshments and give orders through to service team
Ensure safety induction is done for all visitors and all new staff
Promptly phone staff members when guest(s) arrive for an appointment - offering a seat while they wait.
Ensure that no visitors walk through the company unattended as all visitors are to be accompanied by a Virbac employee
Always be aware of who is coming and going through the company doors for security purposes; report any suspicious behavior to the Line Manager
Expected resultsProfessionally operated switchboard and a positive welcoming image of the company portrayed
Non-Inventory OrdersNon-Inventory Orders are to be processed on MOVEX when required within a reasonable time frame.
Non-Inventory Orders to be created as required e.g. water and stationary
Non-Inventory orders created for quotes R30 000 to be captured onto the finance control sheet
When invoices are received make sure that all the required information is on the invoice, if not contact the relevant person and get an updated invoice.
Get the correct account number and departmental code for the invoice so that it can be allocated correctly
Ensure all relevant documents are approved and filed accordingly
Ensure that details are accurately captured, i.e the rand value, account number and employee number on the order
is the same as on the invoice and in the system.Ensure that all orders are processed by close of day and forwarded to Finance by 12h00 every Wednesday
Escalate all queries to Line Manager / Finance.
Ensuring all relevant orders are captured against the correct BUM budget spreadsheets
Expected resultsAccurately and timeously processed non-inventory orders on MOVEX
General AdministrationUpdate, maintain and distribute internal sales & cell phone lists as required
Ensure filing is done once a week
Respond to email communication timeously
Upload notices on the canteen monitor when required
Liaise with manager regarding new staff and ensure name badges and business cards are ordered
Display relevant communication on the canteen monitor and printed copies to be given to service team to be put on the notice boards as required.
Order stationery from relevant departments that fall under the Admin Support Manager and ensure delivery notes are signed as confirmation
Process and pack the promotional delivery notes as required
Respond to all communication in a timely manner.

Requirements (Qualifications and Experience)Matric
Admin related qualification (NQF Level 5)
2 years in an administrative role
1 year experience as a switchboard operator will be beneficial
