Job Description

Duties/Pligte
Leading and coordinating arrangements and logistics for all research and Centre-related events and meetings, including finding and booking meeting venues, organising catering, setting up venues, etc. Managing travel arrangements for staff and students, as well as for participants in research and Centre-related events and workshops, including flights, shuttles, car rental and accommodation. Supporting the Directors in managing diary, email, approvals and other personal assistant functions. Compiling and distributing minutes for select Centre meetings. General office administration and management (coordinating cleaning, maintenance, office and kitchen supplies, etc.). Performing general reception duties, including receiving guests and courier deliveries. Being a contact point for all staff enquiries, including problems with IT, building access, etc. Welcoming and supporting new staff with IT, access cards and other enquiries. Being a contact point for external queries and managing the CST enquiries inbox. Maintaining and updating the asset register. Responsible for annual reporting of academic publications. Liaising with researchers to ensure complete records and e-copies of all publications and publisher information of the peer-review process where applicable.



Job Requirements/Pos Vereistes
An NQF level 5 qualification in administration or a similar field. At least three years' experience in an administrative role. Experience in booking travels, and managing and coordinating events. Experience in basic financial administration (purchase orders, record keeping, etc.). Strong computer proficiency in the Microsoft Office package (Word, Excel and Outlook) as well as Microsoft OneDrive, SharePoint and proficiency in MS Teams. Excellent verbal and written communication skills in English. Strong interpersonal skills with experience in stakeholder relationship management. Strong organisational and coordination skills. A methodical, detailed, and problem-solving approach to working. The ability to perform under pressure, work independently and apply own initiative.



Recommendation/Aanbeveling
