Provide administrative support to the Production Team enabling the efficient and effective delivery of a Learning and Development Service to the business.
Minimum Requirements
Diploma/Degree
3 - 5 years relevant experience working in similar environment, applying job-related concepts, techniques and processes at the required level
Business English: Fluent
Computer literacy (Intermediate)
3 - 5 years working wth Senior Management
Duties and Responsibilities
General Support
Provide administrative support: Administration Training, Reporting, HR Processes, Training budget, Manpower budget, Temporary employment Services
Manage general enquiries related to the processes and the systems
Prepare and maintain presentations and manuals
Co-ordinate the arrangements for special events and meetings & Clover Communicate/ In Clover
Learning
and Development Process Support
Co-ordinate the preparation and maintenance of documentation for learner registration
Prepare and distribute material and documentation to support the Learningand Development Process
Maintain storage of learningmaterial & records
Provide coordination and support for the roll-out of training interventions
Liaise with SETA's & other Training facilities
Manage service levels to internal & External customers
Skills training and development: Plan development, Assessments, Gap analyses, Execution according to timelines. Positive performance trends after interventions as result.
Training process: nomination system, annual training program, course scheduling and co-ordination of production training
Productivity support: In selected job categories initiate studies where information is gathered regarding - responsibilities, areas of work, utilization, identification of opportunities for improvement
Coordinate logistics related to the provision of
learning
and development
Arrange and prepare venues for training and communicate with delegates prior and during programmes
Liaise with service providers to determine needs and requirements
Handle travel, flight and accommodation arrangements
Create purchase orders and arrange for payments (service providers)
Onboarding Process Support
Ensure all resources are in place as per job requirements e.g. Computers etc.
Co-ordinate the arrangements for the initial orientation session
Monitor and track the employee onboarding process and remind relevant stakeholders of actions required
Record keeping and reporting
Generate accurate routine and ad hoc information/reports from LearningManagement System and other sources (Financial and other)
Prepare schedules and supporting documentation for audits
Maintain filing System including filing, archiving, storing and upkeep of records (Electronic)
Conduct routine audits of the related administration processes and system and provide input into the improvement
