Job Description

To provide committee administration support to the faculty and co-ordinate and perform administrative functions in the Office of the Faculty Manager to ensure effective and efficient rendering of quality service.
Job Knowledge, Skills and Experience

  • Grade 12 (Matric)
  • A Post matric qualification is recommended.
  • A minimum of 2 years working experience in a higher education environment with specific reference to committee administration and budget administration.
  • Excellent knowledge of Microsoft Office Suite 365 (Data base, Word processing Excel and PowerPoint, Teams),
  • Working Knowledge and familiar with ITS
Key Performance Areas / Principal Accountabilities
  • Committee Administration - compiling of agendas, minutes and reports.
  • Receiving, compiling and summarizing all required documents for relevant faculty committee meetings
  • Checking completeness and correctness of relevant documents
  • Submission of faculty documentation to institutional committees/central administration divisions.
  • Database administration and accurate record keeping
  • Monitor and draw statistical reports on various administrative processes, e.g. mark alterations, to Executive of Faculty (Exco)
  • Assisting with Student registration related matters
  • Monitoring expenditure by drawing cost centre reports and distributing to departments
  • Processing requisitions
  • Governance, Risk, Compliance and Audit
  • Assist with sourcing of information for audits
  • Assist with updating faculty risk register
  • Assist with final assessment timetables
  • Assist with monitoring of selections and extracting of reports from Digital Selection platform
  • General
  • Assist with professional body accreditations
  • Execute tasks as instructed by line manager
  • Liaison with internal and external stakeholders
  • Assist with arranging Dean's Excellence Awards
  • Assist with arranging Teaching Excellence Awards
