Administrative Assistant (Technical Operations)

Summary / Overall Purpose
The Administrative Assistant provides essential organizational and administrative support to the Operations and Engineering leadership teams. The role is responsible for maintaining critical document control, managing complex executive scheduling, and facilitating efficient communication across a fast-paced, technical industrial environment.
Essential Duties, Functions, and Responsibilities
Executive & Calendar Management
Manage complex calendars, including internal and external meetings with global partners and manufacturing facilities.
Coordinate domestic and international travel arrangements.
Prepare and submit detailed expense reports for assigned leaders.
Filter and prioritize high-volume email correspondence; draft responses and prepare communication materials on behalf of leadership.
Document Control & Filing
Maintain and organize critical documentation such as technical specifications, vendor contracts, project reports, and financial records.
Develop and maintain structured filing systems (digital and physical, as applicable) ensuring quick retrieval and strict version control.
Support preparation of presentations, reports, and consolidated data for executive and operational meetings.
Operational Liaison
Serve as the professional point of contact for internal departments (Sales, Engineering, Procurement) as well as external vendors and partners.
Coordinate logistics for team meetings, training sessions, audits, and other operational events.
Provide administrative support for specialized projects within Operations, Engineering, Compliance, or related functions as assigned.
Job Requirements (Skills & Experience)
Experience
3+ years supporting senior executives or departmental leadership, preferably within a manufacturing, engineering, or industrial B2B environment.
Organization & Workflow Management
Exceptional organizational skills with the ability to manage multiple priorities and a high-volume workload simultaneously.
Technical Proficiency
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or Google Workspace.
Communication
Excellent written and verbal communication skills, with a polished, professional demeanor for interacting with C-level leaders and technical partners.
Discretion
Demonstrated ability to handle confidential and proprietary technical or financial information with integrity and sound judgment.
Work Environment
This is a professional remote position requiring strong self-management, proactive communication, and consistent coordination with distributed global teams.
