The Dinokeng Game Reserve Management Association is looking for Administration Department Head to join our team. The position requires both technical and managerial skills. You will be responsible for developing, managing and advising on relationships with both external and internal stakeholders, overseeing and coordinating mutually beneficial relationships. To oversee the administrative operations of the DGR and responsible for the DGR's day-to-day admin and management of supervising and supporting staff. Identify risks and advise suitable actions to mitigate.
Background:
The Dinokeng Game Reserve is the first and only free-roaming Big 5 game reserve in Gauteng. It is a private/public partnership for which planning and development started in the early 2000's. The 19 000 ha reserve is situated north of Pretoria adjacent to Hammanskraal.
Key Responsibilities:
Operational
Supervising day-to-day operations of the administrative department and staff members.
Developing, reviewing, and improving administrative systems, policies, and procedures.
Analysis and risk mitigation.
Ensuring office is stocked with necessary supplies and all equipment is working and properly maintained.
Negotiate formal contracts.
Management of Databases.
Management of communications - Responsible to ensure that all Communication requests from Section Managers are attended to by your department and final sign off to be obtained from the DMA Chairperson/General Manager. Your department will liaise with the necessary Section Managers regarding information and technical data required.
Stakeholder engagement.
Finance
Working with management team to set budgets, monitor spending, and overall departmental expenses.
Analyze management accounts and plan budget and resource control.

Tourism & Marketing
Overseeing Tourism and Marketing projects and tracking progress towards company goals.
Oversee analysis of tourism information and trends and identify implications of recreation at the Game Reserve.
Oversee the Tourism manager liaison with the DGR TA / DTO and other Tourism marketing bodies.
Oversee the tourism department's liaison with product owners regarding offerings. o Oversee the development of destination marketing.
Oversee the management of the social media and Public Relations strategies and activities.
Define contractual terms and conditions for tourism, concessions and partnerships. o Oversee the planning and management of media/PR/Marketing activities.
Administration
Obtain input from all Admin Departments to provide a report to the DMA Chairperson/General Manager on the status of the strategic goals for the DMA.
Provide the DMA Chairperson/General Manager with a monthly report on the activities within the Tourism, Marketing and Finance Department.
Submit Orders and Purchases to DMA Chairperson/General Manager for approval.
Proclamation Administration
Provide support and documentary proof in terms of the declaration process, the following process must (and is) be(ing) followed:
Landowner's Written Consent
The Act requires written consent for a nature reserve declaration, as per S23(3).
The vetting of resolutions embodying the consent of each participating landowner, is ongoing.
Determination of General Willingness to Participate:
To fathom the willingness of landowners to be declared as part as the nature reserve, letters of intent templates for completion and signature, have been distributed to all landowners early in 2024.
Distribution of the letter templates was done by the Dinokeng Game Reserve Management Association (DGRMA), as reported in project steering committee meetings.
Submission of Letters of Intent and Proof of Ownership
Once this process is finalised, the DGRMA will submit these letters together with proof of ownership in the form of WinDeed Reports, amongst others, to the Department.
Provide input for the preparation towards Gazetting of a Notice of Intention to Declare: First Steps
The Department, in its Biodiversity Management Directorate, will, based upon what was submitted by the DGRMA, compile a dossier of supporting documents relating to properties to be declared.
Said dossier will also include the first draft of a notice of intention to declare - attached to said draft notice will be a schedule listing all the land portions to be declared.
General HR Functions for Department Staff:

Maintain leave registers.
Manage staff employment agreements.
Keep accurate salary records.
Ensure technical on-the-job orientation for new hires in the department.
Support departmental staff performance evaluations in collaboration with HR. Attend to disciplinary and grievance procedures for department staff.
Requirements and skills:
Bachelor's degree in business administration, management, or related field.
At least 5 years' proven experience in related field, such as management or financial reporting, preferred.
Senior Management experience and supervision of others.
Background, experience and understanding of conservation will be an advantage.
Budgeting and financial reporting experience.
Knowledge of payroll and finance software.
Knowledge and experience of procurement and tender processes.
Knowledge of customer service practices.
Project management experience.
Strong knowledge of policies and procedure on accounting, budgeting, procurement, suppliers and auditing.
Exceptional leadership and time, task, and resource management skills.
Strong problem solving, critical thinking, coaching and interpersonal skills.
Need to be highly organized, analytical and have experience directing others.
