Position overview



We are seeking a detail-oriented and organized Administration Assistant to join the Traffic Management Technologies (TMT) Collections Department Team. This person will be responsible for providing administrative support in administering fine-related processes, compliance controls, and coordinate representation submissions with various municipalities. The ideal candidate will ensure accurate documentation, effective communication with clients, and provide essential administrative support to internal departments.

Key Responsibilities:



1. Fine Administration:

Tasks included, but are not limited to:

1.1 Upload and track status checks for both Central and City of Cape Town fines.

1.2 Provide clients with up-to-date information on the validity of tickets.

1.3 Save fine administrators' requests in the designated validity folder for further processing.

1.4 Issue payable files to clients once representation processes are finalized.

1.5 Create closure files after payment and distribute official receipts to clients.

1.6 Supply data and documentation to Fine Administrators as needed.

1.7 Manage and respond to Fine Administrators' requests in a timely and accurate manner.

2. City of Cape Town Representation:

Tasks included, but are not limited to:

2.1 Request approval for representation submissions to the City of Cape Town.

2.2 Save approved representations in client-designated locations on shared drives.

2.3 Capture representation requests for City of Cape Town cases.

3. Central Representations Management:

Tasks included, but are not limited to:

3.1 Review and process all tickets with values exceeding R400 (Four Hundred Rand).

3.2 Submit tickets to relevant municipalities for representation approval.

3.3 Save all approvals on the shared drive for compliance and future reference.

3.4 Apply and verify reductions in ticket amounts as per approved representations.

3.5 Perform post-processing status checks to ensure all reductions have been correctly applied.

3.6 Communicate with the internal team once all ticket reductions are processed.

4. Administration Services Support:

Tasks included, but are not limited to:

4.1 Assist with the onboarding of new clients, including document verification and data uploads.

4.2 Upload identification documents and verify redirection submissions.

4.3 Manage and upload redirection requests as per client instructions.

4.4 Handle queries related to Fine Administrative System (FAS) processes and systems.

4.5 Coordinate with IT to request VPN credentials for new users.

Education and Experience



Matric, NQF equivalent or NQF Level 4 or higher. Additional certifications in office administration or related fields can also enhance job prospects. Minimum 2 years prior experience in a similar role or within the traffic monitoring and admin work environment.

Skills and Competencies



Must be IT literate.

Proficient in Microsoft Office Suite (Word, Excel, Outlook).

Strong attention to detail and excellent observation skills.

Good problem-solving and analytical skills.

Strong administration skills.

Good communication skills for interacting with team members, law enforcement, and other stakeholders.

Enjoy working in a team but also can work independently.

Be patient, tactful, diplomatic, and approachable.
