Responsibilities
Job Overview: To provide administrative and operational support at the raisin depot by ensuring accurate documentation, compliance with intake and hygiene procedures and effective coordination of depot resources. The Admin Clerk plays a key role in maintaining producer records, managing depot supplies and supporting payroll and financial processes, while upholding health, safety and quality standards.
Raisin Intake & Producer Support

  • Receiving Raisins from Producers
  • Coordinate and oversee the intake of raisin loads from producers, ensuring smooth offloading and accurate documentation
  • Intake Procedure Compliance
  • Ensure all intake protocols are strictly followed, including quality checks, weight verification, and documentation
  • Producer Documentation Management
  • Handle and file all producer-related documents per load, including delivery notes, contracts, and BBBEE compliance documents
  • Drying Aid Distribution & Reconciliation
  • Issue drying aids to producers and maintain weekly reconciliation records to ensure accountability and stock control
Administrative Duties
  • Producer Information Administration
  • Capture and maintain accurate records of producer details, load data, and delivery schedules in the system
  • Payroll Support
  • Accurately capture depot personnel working hours and submit weekly reports to Payroll for processing
  • Fuel Management
  • Monitor fuel usage at the depot and submit accurate fuel reports to the Creditors Clerk for reconciliation and payment
Depot Operations & People Management
  • Depot Staff & Process Oversight
  • Support depot operations by coordinating staff activities, ensuring efficient workflow, and assisting with basic HR-related tasks
  • Customer/Producer Centricity
  • Maintain a service-oriented approach when dealing with producers and internal stakeholders, ensuring queries are resolved promptly and professionally
Compliance & Standards
  • Health & Safety Compliance
  • Ensure depot operations comply with health and safety regulations, including PPE usage, hazard reporting, and emergency procedures
  • Depot Hygiene & Quality Standards
  • Uphold hygiene standards in line with HACCP and GMP requirements, ensuring cleanliness and food safety protocols are maintained
Qualifications
Education & Experience Requirements
  • Minimum Qualification:
  • National Senior Certificate (Matric)
  • Certificate or Diploma in Office Administration, Logistics, or Business Management is advantageous
  • Experience:
  • 2-3 years in an administrative or clerical role (preferably in agriculture, manufacturing, or logistics)
  • Experience with document control and basic financial processes
  • Exposure to health and safety or quality systems (e.g., HACCP, GMP) is advantageous
Other Requirements:
  • Valid driver's license (if travel between sites is required)
  • Fluent in English and Afrikaans (depending on producer base)

  • Knowledge of HACCP, GMP, and depot hygiene standards

  • Supporting producers with drying aids and documentation
  • Maintaining a helpful and service-oriented approach

  • Working closely with depot staff and management
