The Admin Clerk is responsible for providing administrative support to ensure smooth daily operations at the Vehicle Testing Station. The role includes handling customer documentation, invoicing, payment processing, data capturing, and ensuring compliance with traffic and testing regulations.
2. Key ResponsibilitiesCustomer Service & Front Desk
Welcome customers and assist with enquiries in a professional manner.
Capture customer and vehicle details accurately in the system.
Handle bookings, walk-ins, and queue management.
Documentation & Compliance
Prepare, collect, and verify all required documents for vehicle testing.
Ensure test forms, invoices, and compliance documents are completed correctly.
Maintain accurate filing systems (electronic & physical).
Financial & Invoicing
Process payments (cash, card, EFT).
Issue invoices, receipts, and credit notes.
Reconcile daily cash and submit reports to management.
Data Capturing & System Updates
Enter test results, customer details, and transaction records into the system.
Update system with pass/fail results and prepare certificates.
Maintain accurate and up-to-date logs for all testing activities.
Communication & Coordination
Communicate with examiners, drivers, reception, and management.
Respond to dealer, fleet, and customer queries via phone, email, or WhatsApp group.
Follow up with customers on outstanding documents or payments.
Station Operations Support
Ensure stationery, printer cartridges, forms, and office supplies are stocked.
Assist with printing number plates, reports, and certificates.
Support the station with clerical tasks required for smooth workflow.
3. Minimum Requirements
Grade 12 / Matric.
At least
1-2 years' experience
in admin or customer service.
Computer literacy (Excel, Word, Email, testing systems).
Strong attention to detail and accuracy.
Excellent communication and interpersonal skills.
Ability to work under pressure in a fast-paced environment.
