Job Description


Our client, a reputable private family involved in various entrepreneurial and property ventures, is looking to appoint an Accountant & Office Manager for their growing personal business portfolio. The successful candidate will be responsible for setting up a new, dedicated office and managing the bookkeeping and administration of more than one entity owned by the family. You will be the only full-time staff member and must be comfortable and competent working standalone and on various levels. Support will be available from the owners and their professional advisors. Tasks will range from basic admin support and bookkeeping, monthly accounting functions and management reporting, to liaising with clients and service providers, and supporting the owners in their business decision making and execution. To provide a guestimate, you will be spending your time as outlined below, but this would vary from month to month: 60 - 65% on the property-owning company. This entity currently owns 5 properties with +-8 tenants in Paarl. It is a growing business, exploring new opportunities for property acquisition and re-development of existing properties. 5 10% on the farming trust. This entity does not engage in active farming but owns and sub-leases farmland in Swellendam. 25 - 35% on all other work, mostly general administration, and PA type work. Hybrid Working hours: to be discussed and agreed to suit the needs of both parties. Minimum daily core hours of on-site work (4), at Southern Paarl Office, but availability thereafter remotely/virtually. Duties related to each entity: Property-owning company Bookkeeping functions (SAGE online), including tenant invoicing, day-to-day payments, VAT bi-monthly, fixed assets (register, depreciation), bank loans, monthly bank reconciliations, account payables recon (<5 accounts) Accounting and reporting: management accounts preparation, liaise with professional accounting firm for Annual Financial Statement Lease contract management you will be responsible to understand key commercial terms, and translate to action e.g. escalate rental amount, invoice utilities, initiate renewal of expiring leases, etc. Property management - oversee the maintenance programme, letting of vacancies, etc. Ad hoc work in support of business growth and expansion of income streams You will maintain strong relationships and efficiently communication with - - Our tenants; - Our maintenance team, who is employed by, and shared with, one of our main tenants. They are responsible for the properties maintenance, buying of materials from suppliers, etc. - Our service providers, e.g. Drakenstein municipality and various suppliers - Our bankers - Our accounting and tax advisers, a professional services firm Farming Trust and Family Trust - Bookkeeping functions (SAGE online), including day-to-day payments, VAT bi-monthly, accounting for loans and fixed assets, etc. Group financial management | all entities Cash management: you must be on top of cash requirements per entity, and will be responsible for optimising bank and investment balances across the group Tax compliance (supported by professional accounting firm) Cost management and developing a budgeting program Financial reporting and business decision support Personal assistant (PA) - Admin support to two professionals in Paarl (the owners), scope of work to be discussed. - Admin support to two retirees in Swellendam, scope of work to be discussed. Minimum requirements: A relevant tertiary accounting or business administration qualification; Minimum 5 years experience in a business environment, with exposure to accounting and reporting; Knowledge of property industry advantageous; Excellent computer literacy (MS Excel, MS Office suite & Accounting software); Tech savvy, with a real knack for figuring stuff out; Own reliable transport.
