The main purpose of this position is to perform general project administrative support functions to ensure the smooth running of projects within the Currency Management Department.
Detailed description
The successful candidate will be responsible for the following key performance areas:
Assist in preparing and maintaining mandatory project documentation, such as project charters, business cases, project plans and change requests, to ensure compliance with Programme Management Office standards and procedures.
Gather, organise and manage project information and reports, ensuring that relevant stakeholders remain adequately informed of the project's progress and status.
Serve as liaison with both internal and external stakeholders throughout the project life cycle, promoting clear and effective communication on all project-related matters.
Update and maintain the project schedule, promptly highlighting any deviations to ensure that project timelines are adhered to and allow for planning adjustments.
Maintain a central project repository to ensure all project-related information is easily accessible to stakeholders and available for audit purposes.
Organise meetings by scheduling, consolidating meeting materials, recording and distributing minutes, and ensuring that action items are tracked and completed as agreed.
Record, update and monitor logs for lessons learnt, risks, issues and actions, thereby supporting effective risk management by the project manager.
Coordinate and follow up on project activities in the absence of the project manager to ensure project continuity.
* Maintain and update the financial tracking spreadsheet, working closely with vendors and the department's financial management team to ensure timely processing of payments and invoices.
